Privacy Notice

This Privacy notice tells you how we maintain your privacy and protect your personal information when using the Family Services Directory (FSD).

When you visit the FSD we collect information that measures behaviour patterns. This information is collected anonymously and will not identify you. The data is used to ensure that content from our directory is presented in the best way for you.

What personal information do we collect?

If you contact us via the help form, feedback form or by email via this directory, we will use your contact details and any other information you provide to deal with or respond to your message.

We will only collect personal information that is necessary. You may choose to volunteer more information to assist with your enquiry. Personal information may include:

  • First name
  • Family name or surname
  • Address
  • Telephone number
  • Email address

We may also use some of the information you provide us with for other reasons such as:

  • to make sure that the service you receive is efficient and effective
  • to meet our statutory obligations

The lawful basis on which we use this information

Under the Children’s Act 2006, we have a legal duty to ensure families with children and young people have access to clear information, advice and guidance to inform the choices they make. The information helps families in the community know what is available to them and this includes information on childcare, activities, support services and more.

Storing this information

Any personal information you provide to us on the help form, feedback form or by email will be recorded in our enquiry log. Your personal data will be kept for a period of 12 months, known as the retention period, then it will be destroyed.

Who we share this information with

We will not use your information to contact you again other than to respond to your enquiry. We will not share your details with any third party unless you have consented for us to do so to answer your enquiry.

Links to other websites

The FSD does contain links to other websites that are provided and maintained by third parties. If you follow a link to any of these websites, please be aware these sites will have their own privacy policies and we are not responsible for any of their content, terms and conditions. Please do check any privacy policy before you submit any personal data.

Requesting access to your personal data

Any user of the directory who has submitted an online enquiry can request to see this data and request for it to be deleted if the data is still in its retention period. The right to request this, is known as a Subject Access Request.

The FSD is a service provided by the Family Information Service who are part of Children Social Care and Education and Early Intervention within the London Borough of Hounslow.

Childcare Providers listed on this directory

In addition to the privacy notice above that applies to anyone viewing the directory, an additional notice applies for registered childcare providers as follows:

The contact information of all registered childcare providers, with the exception of childminders, is available in the public domain via the Ofsted website. This information is also provided to the local authority to meet its statutory duty and then published on the FSD.

All childcare providers are requested to complete their profile information by registering for an account on the directory. If a provider chooses not to have an account, only the contact details supplied by Ofsted will be shown. Childminders, however, must consent to have their details published on the FSD and can withdraw their consent at any time.

Information on all registered childcare providers will be shared with the internal safeguarding and child protection teams should the need arise. Information will also be shared with the Early Years and Childcare Service to further improve and develop childcare sufficiency and sustainability in Hounslow.

The FSD software provider Synergy may access information on a needs basis should any issues arise with the FSD. The software provider, in line with GDPR, will have their own privacy notice.

Service and Activity providers listed on this directory

In addition to the privacy notice above that applies to anyone viewing the directory, an additional notice applies for providers of a service or activity listed on the directory as follows:

If you offer a local service or activity for the benefit of children and young people in Hounslow, you can request to advertise on the directory. This involves registering for an account where you will need to provide personal data. This information will only be used to contact you in relation to your advertised record and the ongoing maintenance of it.

We will not share your details with any third party. Your personal data linked to your registration will be removed when you are no longer advertising on the directory.

The FSD software provider Synergy may access information on a needs basis should any issues arise with the FSD. The software provider, in line with GDPR, will have their own privacy notice.
